How to write a missed-call text that actually wins the customer back

A missed-call text has one job: stop the caller from dialling your competitor. You have about eight seconds of their attention and 160 characters of goodwill. The templates above follow five rules that make the difference between a text that gets ignored and one that gets a reply.

1. Apologise in one breath, then move forward

"Sorry we missed your call" is enough. Don't over-explain why you missed it — nobody cares that you were under a sink or in a meeting. Every extra word of apology is a word not spent telling them what happens next.

2. Always give a next step

A text that only says "sorry we missed you" leaves the caller exactly where they started: needing to call again. The highest-converting missed-call texts offer a concrete action — a booking link, a callback offer, or a simple "reply with what you need." If you have an online booking page, put it in every single message. Callers who can book themselves at midnight are callers you never have to chase.

3. Match your trade's urgency

A plumber's 2am caller and a salon's Tuesday caller are in completely different emotional states. Emergency trades should lead with "we're on it" energy and an explicit urgent-reply keyword. Appointment businesses should lead with the booking link. Professional services — lawyers, clinics, consultants — should sound calm and competent, because trust is the product.

4. Keep it under two texts' worth of length

Long messages get skimmed or split awkwardly across carriers. Aim for one clear idea per message: the apology, the action, the sign-off. If you need a booking link and a callback offer, that's two separate use cases — which is why the generator gives you six templates instead of one.

5. Sign it like a human

A name at the end — even just "— Priya, Sharma Plumbing" — lifts reply rates because it signals a real person is behind the message. Automated texts that read like robots get treated like robots.

Common mistakes to avoid

  • Sending nothing. The single biggest mistake. A mediocre text beats silence every time.
  • Texting twice. If the caller rings again within the hour, don't send a second auto-text. One is attentive; two is spam.
  • No opt-out. Every automated message should honour STOP replies. It's the law in most countries and just good manners everywhere.
  • Generic wording. "Thank you for calling, we will get back to you" could be anyone. Your business name, your link, your name — that's what makes it yours.
